PSA vs AI Service Desk: What Should a New MSP Buy First?
NetZen AI
Almost every "how to start an MSP" guide says the same thing. Buy a PSA. Buy an RMM. Then start selling.
But a PSA was designed for a different problem. Before you spend money on one, it helps to know what it does and what it does not do.
This post is part of our complete guide to starting an MSP.
What a PSA does
PSA stands for professional services automation. It is the back office of an MSP. A typical PSA handles:
- Tickets and time tracking
- Contracts and agreements
- Billing and invoicing
- Projects and scheduling
- Sales pipeline and quotes
A PSA is very good at tracking work. It records what was requested, who worked on it, how long it took and what to bill.
What a PSA does not do
A PSA does not figure out what is wrong. It does not check the device, read the error logs or fix the problem.
A technician still does all of that by hand. That works for a large team with many contracts. It is a poor fit for one person supporting ten clients.
What an AI service desk does
An AI service desk focuses on resolving issues, not just tracking them. In NetZen, a request moves through four steps:
- The user asks for help in Teams, Slack, email, chat or by phone.
- AI collects context and checks the device, including health, CPU, memory, disk, connectivity and recent errors.
- Common issues are solved through self-service or approved automation.
- Everything else reaches a technician with the likely cause already attached.
The technician starts with answers instead of guesswork.
PSA vs AI service desk: side by side
| PSA | AI service desk | |
|---|---|---|
| Main job | Track and bill work | Diagnose and resolve issues |
| Ticket intake | Email and portal, with chat often an add-on | Email, Teams, Slack, web chat and voice on one ticket |
| Diagnosis | Manual | AI investigates before a technician steps in |
| Endpoint monitoring | Needs a separate RMM | Built-in agents with monitoring and patching (NetZen) |
| Automation | Workflow rules on tickets | Fixes on endpoints, browsers, APIs and Microsoft 365, with approvals |
| Billing and contracts | Core strength, including quotes, procurement and projects | Agreements, time and invoices in NetZen, exported to QuickBooks Online or Xero |
| Best for | Larger MSPs with complex contracts and projects | New and growing MSPs that need to do more with fewer people |
Which should a new MSP buy first?
For most new MSPs, the AI service desk.
In year one, your scarcest resource is time. You are selling, onboarding and supporting clients all at once.
A tool that resolves routine tickets and speeds up diagnosis gives you hours back every week. A tool that only tracks your hours does not.
What about billing?
NetZen includes agreements, time tracking and invoices. It exports invoices to QuickBooks Online or Xero, where you record payments.
Good bookkeeping still matters. The U.S. Small Business Administration explains the basics in its guide to managing your business finances.
When to add a PSA
Add a PSA if you later need quoting, procurement, project management or resource planning.
NetZen works alongside Autotask, HaloPSA, Syncro and ConnectWise if you go that route.
When a PSA should come first
A PSA makes sense as your first purchase if any of these apply:
- You are buying an existing MSP that already runs on one.
- You sell mostly project work with complex billing.
- You already have several technicians and many contract types.
If that is not you yet, start with resolution. Add the back office when the business needs it.
